PIPESTAVE HILL HORSE TRIALS VOLUNTEERING
"Team Pipestave" is gearing up for the 2010 Pipestave
Horse Trials series. The first event is July 11th and the fall event is
October 10th. While most of our members do not event & we are not
an eventing organization, most of our income depends on the success of
our two Horse Trials. We rely on our volunteers to make this possible
and fun, too! We hope you will join us in some capacity at any or all
of the events. You'll make new friends and get to watch lots of horses
without any of the pressure of competing! Volunteer opportunities are
listed below. We provide on-the-job training for all positions.
Volunteer coordinators Kathryn West McLeod and Sophiea Bitel will e-mail
confirmations to all volunteers. Some jobs can be combined with
others, depending on the amount of time you have to donate. Thank you
in advance for your great support!
Please contact Kathryn West McLeod, 978-363-1422
(home), 617-943-9601 (cell). Let her know the dates you would like to
volunteer, your first, second and third choices of jobs, and any special
requests you may have (example: fence judge with a particular person).
Kathryn and Sophiea will do their best to accommodate you.
JOB DESCRIPTIONS
Pre-Event Course Clean-up: (As many as possible!) Includes weed-whacking, mowing, branch trimming, painting, etc. The official clean-up day is Sunday, June 27th at 9:00 AM (raindate: TBA) but we also need weed whacking and other assistance all season.
Mowing: (A team!) Again this year we are going to put together a mowing "team" to spread out the labor of keeping our areas of Pipestave mowed. Our goal is to make less work for any one person, so the time commitment will be smaller for all. If you have a riding mower (or even if you don't, we can arrange one for you) and would like to be part of this elite group, please contact Jill Hazard, 978-363-5829, who has graciously agreed to head up this team.
Thursday Night "Folding, Stuffing, Stapling": (4 - 6 people per event) This occurs at 7 PM on the Thursday night before each event to prepare rider packets and paperwork.
Snack Prep: (1 - 2 people per event) This can be one person or a team of two to prepare snack packets prior to events for volunteers. It is not necessary to come day of event. This has been a great job for our younger members and they know the best food to put in! Saturday Set-Up Crew: (3 to 6 people per event) Includes Dressage Ring Set-up, unloading Stadium jumps, setting up PA system and tables, and moving various trailers into place. Saturday activity takes about two hours with 4 people. No experience needed!
Cross-Country Fence Judge: (25+ per event) Please sign up early!! We can't run the event without fence judges. Please confirm your attendance as soon as possible! Sits at assigned cross-country fence and records clear jumps, falls and refusals. May be required to use a walkie-talkie. Will be placed with experienced fence judge if new to job. A wonderful way to watch horses jump through the countryside. Cross-Country Runner: One person needed per event to pick up score sheets from fence judges and deliver them to the scorer. May be mounted on quiet, steady horse, or on foot. (Midday)
Parking Attendant: (2 - 4 per event) Directs trailers to specific parking spaces. Starts early AM and can be done in 2 hour shifts. VERY important and an easy way to volunteer for a short period of time and really help! Assistant Secretary: (1 per event, AM from 7 - 10) Assists secretary in AM set-up and handing out rider packets. A great way to learn about this side of eventing and meet lots of people. Dressage Scribe: (2 per event, AM to 11:30 or 2) Sits with the dressage judge and writes their scores and comments. Is a half-day (AM) or short one day job and requires legible handwriting. Great learning experience! Dressage Ring Steward: (2 per event, AM and done at either 11:30 or 2) Gets horses into the ring at their assigned times. These two coordinate with each other and check bits (explanation provided). Requires use of a walkie-talkie. The ideal way to watch dressage. Dressage Test Runner: (1 per event) Carries dressage tests from rings to scorer's booth. Good for a grade school child.
Assistant Scorer: Two people needed per event, one morning and one afternoon. Works with head scorer to calculate dressage test scores, compile cross-country and stadium results, and post scores. Generally a half-day (AM or PM) job.
Cross-Country Warm-up Steward: (1 per event) Keeps track of riders in warm-up and sends them to the start box at assigned times. Supervises jumping warm-up area. Clear voice and jumping knowledge helpful. Will be using a walkie-talkie.
Cross-Country Starter: (1 per event) Starts each horse on-time on the XC course. Clear voice helpful and will be using a walkie-talkie.
Stadium Steward: (1 per event in afternoon only) Gets horses into the ring in their assigned order. Requires use of a walkie-talkie.
Stadium Jump Crew: (3-4 per event) midday, assist with set-up of the stadium course. Familiarity with jumps helpful but not required. 45 minutes between approximately 11 AM and noon. Parents/spouses/siblings can help and still watch their rider compete.
Stadium Ring Crew: (1-2 per event) Replace rails after knock downs, and assist with course changes between divisions. Appx. noon to 4 PM.
Clean up! Sunday afternoon approximately 3:30 to 5 PM. Many hands make light work for clean up. Take down and put away PA systems, tables, tent, supplies; collect and empty trash barrels and recycling barrels; help load jump rails and standards onto trailer.
