ENTRY & WAIT LIST POLICIES
OPENING DATE We are lucky that our events usually do fill and this sometimes happens quickly. On the entry form, the opening date for each event is listed. This is the date that should be postmarked on your complete entry for your best opportunity to get in. Entries received with a postmark before this date cannot be accepted and will be returned. Hand delivery, fax, on-line or phone entries are not acceptable. If there are two postmarks on the envelope, the later date will be the one used.
PROCEDURE FOR ACCEPTING ENTRIES & WAIT-LISTS The Event Secretary then counts all the entries for each day's postmark until the event is filled. If there are too many entries on any one day's postmark, then a completely random lottery for those who will be wait-listed is held for that day's entries, based on the number of entries received per division. The only exception to this method is: if you were wait-listed on Day 1 for an earlier event in the same calendar year, you will not be wait-listed a second time if your other entries are postmarked on Day 1. We keep any additional entries and notify each person by postcard where they are on the wait-list. Wait-listed entries cannot be "rolled" to the next event.
NUMBER OF HORSES EACH PERSON MAY COMPETE HAS CHANGED FOR 2007 In the past, riders have been limited to one horse in each event because of the limited numbers we can take. The new policy for 2007 is to allow riders to compete more than one horse only if the event has not filled by the closing date. If you wish to compete more than one horse, send in separate entries (and checks) for each horse and write on each entry the order in which you wish your horses accepted. The additional horse's entry will be held until the closing date and you will be notified if the horse is accepted.
SEPARATE CHECKS FOR EACH ENTRANT Please include a separate check for each entrant. This allows both you ad us to make changes more easily. For example, if a family or farm has two entries, separate checks make the bookkeeping much easier if one has to scratch.
WEB POSTING OF ACCEPTED ENTRIES & RIDE TIMES The list of all of those accepted into each Pipestave event will be posted on this website by the closing date (or as soon as the event fills). Ride times will be posted on the Friday 10 days before each event. We will no longer be mailing ride times. These lists will only be posted once and will not reflect later changes due to scratches, which we will handle by telephone.
CANCELLATION REFUNDS To keep our events financially viable, if an event needs to be canceled because of weather and/or footing issues, instead of a full refund, we will issue each rider a credit for half the cost which will be useable any time and will be transferable to any other person. SCRATCHES If any scratches occur, these wait-listed riders are contacted in order of entry receipt to fill spaces. We really appreciate it if you let us know that you need to scratch and we make every effort to get every possible person into our events by filling scratches. We have a liberal refund/credit policy if you let us know if you have to scratch for any reason. There is often a waiting list of people eager to take your place if you cannot compete. A refund is given up to the closing date, and after that, a credit or refund (at our discretion) is given toward any future event provided notification is made by the Tuesday prior to the event. Any scratches after that time may not be credited if the spot cannot be filled from the waitlist. Please contact the Show Secretary, Helen Robinson, as soon as you know you need to scratch. All entries that could not be accepted are destroyed immediately after each event.
